This policy explains how we collect, use, and protect personal information when you visit our website, request a quote, or become a customer.

  • Company name: Osmo Electrical Ltd
  • Company number: 17264944
  • Registered office: 15 Hawthorn Road, Barry, CF62 6LE
  • Contact email: info@osmoelectrical.co.uk

If you have any questions about this policy or how we handle your data, contact us at info@osmoelectrical.co.uk.

2. What information we collect

We collect information in the following ways:

Information you give us directly, when you:

  • Submit a quote request or contact form on our website
  • Message us via WhatsApp, phone, email, or social media (Instagram, Facebook)
  • Book a survey or installation
  • Leave a review or provide feedback

This may include: your name, address, phone number, email address, property details (e.g. supply type, parking arrangement), vehicle/charger preferences, and payment details (processed securely by our payment provider — we do not store card details ourselves).

Information collected automatically, when you visit our website:

  • Our website host (Netlify) automatically records basic technical information in its server logs, such as your IP address, browser type and the pages requested. This is used to keep the website secure and running, and is not used to identify you.

We do not use cookies, analytics or advertising tracking on our website — see Section 6.

Information from third parties:

  • If you are referred to us by an EV dealership or letting agent, we may receive your name and contact details from them

3. How we use your information

We use your information to:

  • Provide quotes and respond to enquiries
  • Carry out site surveys and installations
  • Manage bookings, scheduling, and job communications
  • Issue invoices, process payments, and maintain financial records
  • Produce Electrical Installation Certificates and comply with NAPIT requirements
  • Request reviews and feedback after completed work
  • Send you relevant updates or offers, where you have agreed to this (see Section 7)
  • Comply with our legal, tax, and regulatory obligations
  • Improve our website and services

4. Our legal basis for processing

Under UK GDPR, we rely on the following legal bases:

  • Contract — to provide quotes, carry out installation work, and process payment
  • Legal obligation — to keep financial records (minimum 5 years for HMRC), issue safety certificates, and comply with electrical industry regulations
  • Legitimate interests — to respond to enquiries, maintain business records, and improve our services, where this does not override your rights
  • Consent — for marketing communications, which you can withdraw at any time

5. Who we share your information with

We share personal information only where necessary, with:

  • Trade and regulatory bodies — NAPIT, for certification and competent persons scheme compliance
  • Our software providers, acting as data processors on our behalf:
    • ServiceM8 (job management and scheduling)
    • Elec-Mate (electrical certification)
    • Xero (accounting)
    • Starling Bank (business banking)
    • SumUp (card payment processing)
    • Netlify (website hosting)
    • Zoho (business email)
    • WhatsApp (messaging, including enquiries sent through our website form, which opens WhatsApp)
  • Our accountant, for bookkeeping and tax purposes
  • Manufacturer partners (e.g. Hypervolt, Ohme, Wallbox, Andersen), where required for charger registration or warranty purposes
  • HMRC and other authorities, where legally required

We do not sell your personal information to third parties.

6. Cookies

Our website does not use cookies or similar tracking technologies, and we do not use analytics or advertising tracking. Our fonts and images are served from our own website, so visiting it does not send your information to third-party services such as Google.

If we introduce cookies, analytics or advertising tracking in future, we will update this policy first and, where the law requires it, ask for your consent before setting any non-essential cookies.

7. Marketing communications

We will only send you marketing messages (e.g. seasonal offers, review requests, service reminders) if you have given us your consent, such as by opting in via WhatsApp or our contact form.

You can opt out at any time by:

  • Replying "STOP" to any WhatsApp message
  • Clicking unsubscribe on any marketing email
  • Emailing info@osmoelectrical.co.uk

Opting out of marketing will not affect service-related communications (e.g. booking confirmations, invoices, certificates).

8. How long we keep your information

  • Job and financial records (quotes, invoices, certificates): retained for a minimum of 5 years, in line with HMRC and NAPIT requirements
  • Enquiry data that does not convert to a job: retained for up to 12 months, then deleted
  • Marketing consent records: retained until you withdraw consent, plus a record of the withdrawal

9. Your rights

Under UK GDPR, you have the right to:

  • Access the personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to delete your information, where we are not legally required to keep it
  • Object to or restrict certain processing
  • Request a copy of your data in a portable format
  • Withdraw consent at any time, where processing is based on consent

To exercise any of these rights, email info@osmoelectrical.co.uk. We will respond within one month.

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

10. Data security

We use appropriate technical and organisational measures to protect your information, including secure cloud-based software providers, restricted access to customer data, and secure payment processing through SumUp. No system is completely secure, but we take reasonable steps to protect your data against loss, misuse, or unauthorised access.

Our services are intended for adults. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this policy from time to time, for example as our services or legal obligations change. The "last updated" date at the top of this page will reflect the most recent version. We encourage you to review this policy periodically.
